New this year — the Academy Pathway What it costs Tryouts Offers and placement School season and Open Gyms The season Talking to us

New this year — the Academy Pathway

We sent these in September to every athlete who came to an Open Gym. They are new, so they raise new questions.

I received an “Academy Pathway” email. Is that an offer?

It is a place we are holding for her. The level named in her Pathway is her floor — it is held through tryouts, and she can move up from it. She will not move down.

It isn’t the written offer. That comes after tryouts, with the team, the fees and the paperwork. What the Pathway gives you now is certainty about the bottom of the range, so you are not deciding about our club in the dark.

We send it because the alternative is silence, and silence is what makes families guess.

Why does it show two teams?

Because our staff genuinely saw her between those two levels. Showing one team when the view isn’t settled would be tidier and less honest.

Where we wrote a single team, the view was settled.

Who decided it — one coach, or the staff?

The staff, together. After each Open Gym every coach who was on the floor sits down and reviews every athlete, not only the ones who stood out. The projection is what that group agreed.

It means no single opinion — and no single off evening — decides how we see her.

Can it change before tryouts?

It can move up, and it does, every year. The level in her Pathway is the floor, so the only direction it travels is upward.

The athletes who move are almost always the ones who came back. One session is a snapshot; three is a picture.

She’s already a club member — why did she get a Pathway, and why a second one?

Membership settles her place in the club. It doesn’t settle her team, and the two are decided separately.

Members received a Pathway with everyone else. If you have had a second one, it is an update: either her range has narrowed to a single team, or we have confirmed it is still the two.

If what you were hoping for this season is different from what you have read, tell us now rather than in October.

She’s accepted a verbal offer. Does she still come to tryouts?

Yes — but not to win her place. She has it.

Tryouts are where she meets the rest of her team, where the staff set training groups, and where she collects her welcome box.

What it costs

The question most families want answered first, so it’s second.

What does the season cost?

Fees depend on the team and the membership. The full figure, what it includes and how to pay are all in the offer letter, which arrives at the end of her tryout session.

If you’d like the numbers sooner — and it’s reasonable to want them before you commit a weekend — just ask and we’ll send them.

What do tryouts cost?

$90 for her tryout session. A make-up session is $50.

That is separate from the season fee, and nothing else is due until she has an offer in front of her.

What does an Open Gym cost?

$50 a session, and she is given an Academy shirt at check-in.

Nobody has to come to any of them. They exist so our staff can see her before October — two or three is where it starts to make a real difference, and if none of them fit around her school season, tell us and we will come and watch her at a school game instead.

Are payment plans available?

Yes — three ways to pay: in full, three instalments, or six instalments.

Tell us which one suits your family and we will set it up. Nobody is asked to choose before the offer letter.

What is a membership, and is it different from team fees?

Yes, different. Team fees cover her team — coaching, practices, tournaments, uniform. A membership bundles the rest of what we do around it: year-round clinics, summer training, performance work and camps, at a lower combined cost than buying them separately.

Full details of each level are on the memberships page.

It is optional. Plenty of families play a full season on team fees alone.

Is financial aid available?

Yes, for a limited number of places. Ask before tryouts, not after — email director@academyvolleyclub.com and it is handled confidentially.

We would rather find a way than lose an athlete over it.

What’s included in the fee?

Coaching, practices, the tournament schedule for her team, and a uniform package — jerseys, practice shirts and club apparel.

Travel and accommodation for away tournaments are the family’s own.

Tryouts

When and where are they?

The two gyms run on different days. Check her age group against her gym before you plan the weekend.

$90 per athlete. Register on the tryouts page.

Do we need to register beforehand?

Yes, and it’s required. It’s how check-in runs quickly and how coaches have her details in front of them while they watch her.

Register on the tryouts page. Bring proof of registration on the day.

What should she wear and bring?

Athletic clothing, knee pads, court shoes, water bottle.

She is given an Academy shirt at check-in — at Open Gyms as well as at tryouts. She will not be the only one in club kit.

What actually happens in the session?

Check-in, a short parent meeting, then drills run by our coaches while a separate group of coaches evaluates. We staff both roles properly so nobody is watching from across the gym while also running a station.

Parents are welcome in the bleachers. We ask one thing: please don’t coach her from the side. She has enough to think about.

Her offer letter arrives about ten minutes after the session ends — before you have left the building. If she wants to accept there and then, open it on your phone, fill in the form, and her welcome box is waiting at the desk on your way out.

We can’t make our date. What now?

Make-ups run at both gyms on Sunday 11, Monday 12 and Tuesday 13 October, 5:00–6:30 PM. All age groups train together in those sessions. $50.

Sunday’s make-up is in the evening, so it does not clash with the Sunday morning sessions at North.

Email info@academyvolleyclub.com with her age group. Tell us early — it changes nothing about how she’s considered, but late notice limits what we can arrange.

How are athletes evaluated?

Every coach on the floor records what they saw, into one shared system, and the group decides together.

What they’re weighing: skill, effort, attitude, potential, how she takes correction, and what each team needs. Not one drill, and not one coach’s opinion.

Offers and placement

When do offers go out?

At the end of her tryout session. Nobody waits days to hear.

The offer letter carries the team, the coach, the fees and how to accept.

How long do we have to accept?

48 hours from the offer letter. Commitment Day follows the week after.

The window is set by NCVA, not by us, and every place held is a place another family is waiting on. If 48 hours is genuinely impossible for you, tell us before tryouts and we’ll talk.

How do we accept?

There is a form in the offer letter. Fill it in and she is committed — that form is the record.

It works on a phone, so plenty of families accept in the gym before they have left. You have 48 hours if you would rather think about it.

Please don’t accept by calling a coach’s mobile. It is the one route where an acceptance goes unrecorded, and that causes real problems for the family it happens to.

Can she be moved up after accepting?

Yes. Accepting doesn’t cap her. If the staff decide she belongs on a stronger team, she moves.

So if Academy is where you want her, accept — you aren’t trading the upside away.

How many athletes are on a team?

Usually 12 or 13.

What if she doesn’t get an offer?

Rosters are finite, so it happens, and it isn’t a verdict on her.

She may be waitlisted and offered a place after the 48-hour window, or at a make-up session. There are also a limited number of practice-player places.

If you want to know what would have made the difference, ask. We’ll tell you honestly — that answer is more useful than the offer would have been.

School season and Open Gyms

Nearly every athlete we see is playing for her school right now. We plan around it.

Will you come and watch her at a school game?

Yes. Tell us where she plays and our coaches will be there.

We are at middle school games across the Peninsula through the fall — it is a real part of how we see athletes, not a favour. An athlete we have watched at her school game is an athlete we have watched.

Email her school and team to info@academyvolleyclub.com.

Her school schedule means she’ll miss most Open Gyms. Does that count against her?

No. Open Gyms are not a test and missing them disqualifies nobody.

The only thing that costs her is us not knowing where she is. Tell us and we will find another way to see her — at her school game, or at a session that fits.

A school game clashes with a session she wanted to come to.

Play the school game. We would think less of an athlete who skipped her team for an optional session, not more.

Then tell us, and we will come to the game instead.

How many Open Gyms is worth coming to?

Two or three is where it makes a real difference. One session is a snapshot; three is a picture.

Dates and times are on the practice times page.

The season

What does a normal week look like?

Practice times by team are on the practice times page, and they’re set before the season starts — not adjusted week to week.

How much travel is there?

It depends on the team’s level. Most play a mix of local tournaments and a smaller number of multi-day trips; some higher teams add national qualifiers.

The full schedule comes early in the season. Parents aren’t required at every tournament, but families arrange her transport.

What is the Academy Performance Lab?

Strength, conditioning and injury prevention built into the practice structure rather than sold as an add-on.

This season the Performance Lab runs for National teams only. If it applies to her team, it’s named in her offer letter.

How is playing time decided?

By what happens in practice — effort, attendance, how quickly she takes on what she’s taught, and how she is with her teammates.

We don’t guarantee equal playing time, and we’d rather say so now than have you discover it in December.

What makes Academy different?

Most of our staff have played or coached at professional, national team or NCAA level. This is their profession, not their evening — her mistakes get corrected on the next repetition, not next week.

And every level is in the same building. When she’s ready for the next step, the coach taking it with her is someone she already knows.

Talking to us

Who do I contact?

Before tryouts — anything at all, to info@academyvolleyclub.com. Open Gyms, school games, make-up dates, what a team means, how any of this works.

After tryouts — offers, acceptances and placement, to offers@academyvolleyclub.com.

Fees, financial aid, anything private — director@academyvolleyclub.com, at any point. Handled confidentially.

If you write to the wrong one we will pass it along. Nothing gets lost because you guessed.

Coach profiles and emails are on the coaches page. Write to them directly — we would rather answer your question than have you guess at the answer.

How will her coach communicate during the season?

Team email and a team WhatsApp group, plus the club site for anything general. Her coach sets it up with the team in the first week.

From January 2027 it all moves to the Academy Hub — one place for schedules, team messages and everything else, instead of chasing a group chat.

Can we watch practices?

Yes, from the viewing areas. We’re proud of how our practices run and we’d like you to see them.

Every practice is live streamed, so you can watch from work, or from another gym while a sister is playing, and grandparents can watch from anywhere.

Same request as tryouts: please don’t coach her from the side or speak to coaches mid-session.

Is there a parent meeting once teams are set?

Yes, one per team, shortly after teams are finalised — schedule, expectations, tournaments, and a chance to meet the coach and the other families properly.

STILL NOT SURE

Write to info@academyvolleyclub.com with anything at all. There is no question too small, and we would rather answer it than have you guess.
